You don't get a login and a manual. Someone from the EquiZen team sits down with you and goes through the setup screen by screen: the locations and boxes your yard really has, the role each person on your team needs, and which modules fit the way you work. Not every stable needs Breeding or Leasing, and leaving off what you don't use keeps the app clear for everyone.

Two locations

A yard with a home stable and a second site twenty minutes away gets two locations from day one, each with its own box range — A01 to A35 at home, B01 to B12 at the second site — not one merged list nobody can read.

Modules and roles that fit

A livery yard switches on Contracts, Box Planner and Nutrition and leaves Breeding off; a stud does the opposite. The head groom is invited to the app with the Groom role, while the yard hand who never touches a screen is added to the team without app access.

Thirteen screens, four phases

Only your stable details, the type of stable and a first location are required. Everything else can be skipped and finished later, and the wizard remembers exactly where you stopped.

    Your stable on paper

    We start with what appears on your documents: the stable name, which is the only required field, then the address, VAT number, logo and the language you write to customers in. Next, the type of stable — commercial, breeding or competition. That choice sets which horse details are required on every horse and switches on one suggested module, which you are free to switch off again.

    Your yard and your team

    Then the physical yard: one or more locations, each with a type and capacity, and its boxes created in one go from a numbered range. Paddocks and arenas are locations too, without boxes. Your country brings in its public holidays for planning, and then your team: every person gets a role and is either invited to the app or added without app access.

    Owners, vets, farriers and suppliers; the horses in your care; the feed, bedding and services you invoice. Each screen shows what is already in and opens the import wizard right there, so your existing lists come across instead of being typed in again.

    Every horse is linked to the person who owns it, one by one or with one owner for every horse still without one. If you use the Owner Portal, you tick the owners who should get access and they receive an email to set their password. The summary then shows what is set up and what is still open, with a button straight back to anything you skipped.

No, you don't have to retype every horse by hand

If the typing is what has kept you from switching, this is the part to read. Your horses, contacts and articles come across from the Excel or CSV files you already keep. EquiZen matches your columns to its own fields, asks about values it doesn't recognise, flags duplicates and lets you fix problem rows before anything is saved — and we do the first import with you.

Once you are live, the app shows each person only what is relevant to them. That, more than any training, is why a new groom finds their way on the first morning.

A menu that fits the person

The menu only lists the modules and screens someone's role gives access to. A groom never sees invoicing; an owner gets a menu of their own — horses, invoices, contracts, inbox — and nothing about your staff.

Search instead of clicking

Press Ctrl+K or Cmd+K anywhere and type a name, a chip or passport number or a licence plate. Horses, contacts, documents, invoices and contracts come straight up — only the ones that person is allowed to see.

The yard and the office

On a phone or tablet the essentials sit in a bar at the bottom of the screen; on a desktop, a full sidebar. The same data, laid out for where you are standing.

AFTER GO-LIVE

Support doesn't stop when you go live

Going live is where working together starts, not where it ends. Whenever your team needs it, we set up a one-to-one session or an online training with someone from EquiZen who knows how your stable is set up.
