Built around the moments that cost a stable time and money

Every module on this page starts with a situation you will recognise from your own yard, and shows exactly what EquiZen does about it. Switch on the modules you need and leave the rest off.

HORSE CARE

Every horse, its whole story

Health, feeding and breeding belong with the horse — not in a notebook, on a whiteboard or in someone's head.

Medical

The vet asks when the horse last had its flu jab and how much bute it is on. The answer was on the whiteboard someone wiped yesterday.

Every vaccination, medical issue, prescription and administration stays on the horse, with a reminder before a vaccination runs out and one overview of the whole yard instead of one horse at a time.

  • Vaccinations, medical issues and prescriptions per horse
  • Every medication administration recorded
  • Reminders before a vaccination runs out
  • One medical overview across the whole yard

Health Tracking

A horse has been dropping weight for three weeks. Nobody noticed, because nobody wrote the numbers down in the same place twice.

Weight and temperature are logged per horse and shown as a trend. A reading outside the normal range is flagged on the horse and on the dashboard, before it becomes a vet call.

  • Weight and temperature per horse, as a trend graph
  • Abnormal readings flagged automatically
  • Warnings on the horse and on the dashboard
  • Readings exported as a report for the vet
  • Owners see their horse's readings in the portal

Nutrition

Twelve horses, twelve rations and one feed list taped to the feed-room door. At the end of the month nobody knows whose horse ate the extra bag of muesli.

Every horse gets a feed plan built from templates, so no ration is typed twelve times. The feed each horse actually ate goes onto sales invoices in one go, split per owner.

  • A feed plan per horse, line by line
  • Templates for rations you use again and again
  • Feed ordering from the plans
  • Feed eaten invoiced to the right owner in one go

Breeding

Which mare was covered when, whose scan is due, which one is carrying an embryo transfer: it all lives in the head of one person, who is on holiday this week.

Coverings, gestation and foaling are followed per mare, with embryo transfers and pedigree alongside, so anyone on the team can see where each mare stands in her cycle.

  • Coverings, pregnancies and foalings per mare
  • Embryo transfers recorded
  • Pedigree kept with every horse
  • Each mare's position in her cycle at a glance
PLANNING YOUR WEEK

A week that adds up — for horses, team and boxes

Who's in, which horse does what and which box is free: the answers are in one place before the week begins.

Calendar & Tasks

At seven in the morning three grooms ask the same question: what am I doing today? The answer is in last night's WhatsApp thread, if they scrolled that far.

Tasks sit in one shared calendar, assigned to named people and repeated automatically. Everyone opens their own list for today, and every change to a task is kept in its history.

  • Tasks assigned to specific people
  • Recurring tasks created automatically
  • A personal list for today, for everyone
  • Task templates for work you do every week
  • A full change history on every task

Workload Tracking

Three riders each gave the same horse "just a light session" this week. Added together, it was the hardest week of its season.

All the work planned for a horse is added up into one load, using the intensity of each task. Limits you set per horse warn you before hard work turns into an injury.

  • One load per horse, built from task intensity
  • Everyone's planned work on a horse counted together
  • Your own limits per horse, set in its profile
  • A warning before overtraining, not after

Availability

You plan the week on Sunday evening. On Monday morning you find out two grooms are on holiday and it's a public holiday.

Leave, sickness and days off are recorded per person, and your country's public holidays are already in, so you know who is there before you plan a single task.

  • Leave, sickness and days off per team member
  • Your country's public holidays included
  • Staff availability visible in the calendar
  • Plan the week around who is actually in

Competition & Performance

A buyer on the phone asks what the horse has done this season, and you're scrolling through results websites while they wait.

Every start is recorded with its result, the level the horse competes at stays on its profile, and training sessions and performance statistics sit alongside.

  • Every start and result per horse
  • Competition level kept on the horse
  • Training sessions logged next to results
  • Performance statistics per horse
  • Results visible to the owner in the portal

Box Planner

A new boarder arrives on Saturday. On Friday afternoon nobody can say for certain which box is free, and one has already been promised twice.

Contracts and leases fill the box planning by themselves, so nobody has to remember to move a horse on paper. You see today's and tomorrow's arrivals and departures before they happen.

  • Planning filled automatically from contracts and leases
  • Today's and tomorrow's arrivals and departures
  • Reserve a box for a horse that hasn't arrived yet
  • Take a box out of use for repairs
  • A conflict warning before a box is double-booked
BILLING & CONTRACTS

From quotation to payment, with nothing slipping through

Most stables don't lose money on horses. They lose it on admin: a forgotten invoice, the wrong party billed, a reminder that never went out.

Quotations

A client agrees to your offer on the phone. Three weeks later nobody can find what was agreed, and the contract gets typed up from memory.

A quotation holds the lines you're offering and how long the offer stands. Once accepted, it becomes a sales order, boarding contract or lease contract without retyping a thing.

  • Quotations with lines and a validity period
  • Converted into a sales order, boarding or lease contract
  • Nothing retyped between offer and contract
  • An overview of quotations still to follow up
  • Owners answer quotations in their portal

Boarding Contracts

On the first of the month someone spends a morning copying last month's boarding invoices, and twice a year forgets one.

A boarding contract holds what each owner pays and how often. Invoices are generated from it for every period, each naming the period it covers, so nobody copies last month's invoice again.

  • Recurring boarding contracts per horse
  • Owner shares per horse, adding up to 100%
  • Invoices generated from the contract, per period
  • Contracts for a whole yard set up in one wizard
  • Owners send stop requests from their portal

Leasing

A horse is out on lease, the rider pays monthly, and halfway through they want to buy it. Your spreadsheet has no column for that.

Lease contracts have their own number series and their own invoicing, kept apart from your boarding work. A lease that ends in a purchase converts into a sale, and the leased horse's insurance is tracked with the contract.

  • Lease contracts with their own number series
  • Their own invoicing and credit notes
  • Lease-to-buy: converted into a sale
  • Insurance tracked with the contract

Invoicing & Accounting

Month end: invoices typed in Word, purchase invoices retyped line by line, and a USB stick full of PDFs for the accountant.

Sales invoices and credit notes come out of EquiZen with a SEPA QR code, so owners pay in seconds. Purchase invoices are scanned instead of retyped, and your accountant gets an export they can read straight in.

  • Sales invoices and credit notes
  • A SEPA QR code on every invoice
  • Purchase invoices read by AI, checked by you, then booked
  • UBL (Peppol BIS 3.0) and Exact Online exports

Peppol e-invoicing

Since 1 January 2026, invoices between Belgian businesses must be sent as structured e-invoices. For most stables that means another portal, another login and another export to check.

EquiZen sends your invoices over the Peppol network straight from the invoice you made, in the Peppol BIS 3.0 format, with your customers' Peppol IDs already on their contact record. Incoming Peppol invoices come straight into your purchases.

  • Invoices sent over Peppol from inside EquiZen
  • The Peppol BIS 3.0 format, ready for the Belgian obligation
  • Peppol IDs stored with each customer
  • Incoming Peppol invoices read straight into your purchases
  • No separate portal, no second login

Payment Reminders

Forty open invoices: some a week late, some three months, one owner who promised to pay on Friday. The follow-up lives in your inbox and your memory.

Open invoices move through up to three reminder levels you define, and one mail per customer lists all of them. A payment promise holds the next reminder back, and everything around an invoice is kept in one timeline.

  • Up to three reminder levels you define
  • One mail per customer covering every open invoice
  • Payment promises hold the next reminder back
  • Disputes and every step in one timeline per invoice
  • Nothing is ever sent without you

Horse Insurance

A horse is injured in the field. Only then does someone look for the policy, and it lapsed last month.

The policy is kept on the horse itself, with its cover and its dates, and you are warned before it expires instead of finding out when you need it.

  • One insurance policy per horse, with cover and dates
  • A warning before the policy expires
  • Kept on the horse, not in a drawer
  • Insurance on leased horses tracked with the lease
RUNNING THE BUSINESS

The foundations under every professional stable

Team, locations, stock, vehicles, paperwork and owners: the work around the horses that decides whether a stable runs as a business.

Team & Permissions

Your fifth employee only needs to see their own horses — not the invoices, not the owners' bank details and not the horses at your other yard.

Nine role levels, from groom and rider to vet, manager and owner, each with its own access per module and around eighty fine-grained permissions on top. Limit a person to specific horses or locations, and let access expire on a set date.

  • Nine role levels, from viewer to stable admin
  • View, create, edit and delete set per module and per role
  • Around eighty granular permissions for finer control
  • Access limited to specific horses or locations
  • Access that ends automatically on a set date

Multiple Locations

Your second yard is twenty minutes away. You find out a box there has stood empty for a month when you happen to drive past.

Every location has its own boxes and units, with occupancy per site and box movements on the dashboard. Filter horses by location, and give staff access only to the sites they work at.

  • Multiple locations, each with its own boxes
  • An occupancy report per location
  • Box movements on the dashboard
  • Horses filtered by location
  • Staff limited to the locations they work at

Inventory Tracking

Three people take shavings from the store, nobody writes it down, and Saturday's delivery never came because nobody knew it was needed.

Every issue, delivery and correction is recorded against the article, so the stock figure is always current. When an article drops to its reorder point you know before it runs out.

  • A current stock level per article
  • Every issue, delivery and correction on record
  • A reorder point per article, with a low-stock warning
  • Services and one-off items kept out of the count
  • Articles imported from Excel or CSV

Vehicles

The horsebox is loaded for a show at five in the morning. At a roadside check, its insurance turns out to have lapsed last week.

Every lorry, horsebox and trailer is recorded with make, model, plate and capacity, and EquiZen warns you before insurance, registration, inspection or a service comes due.

  • Make, model, plate and horse capacity per vehicle
  • Insurance, registration and inspection expiry dates
  • Mileage and service history, with the next service due
  • Warnings in your notifications and on the dashboard

Documents

The vet needs the passport, the buyer wants the X-ray report, the insurer asks for the contract, and each one is in a different inbox.

Documents are stored on what they belong to: the horse, the owner or contact, the boarding or lease contract, the quotation or the task. Horse documents with an expiry date warn you before they run out.

  • Documents on horses, contacts, contracts, quotations and tasks
  • Staff certificates kept per person
  • Expiry warnings on horse documents
  • Owners see their horse's documents in the portal

Owner Portal

By ten in the morning your phone has rung four times: is he eating, did the farrier come, what was this invoice for, can I come and see him on Sunday?

Owners sign in and see only their own horses — photos, health readings, training, results, documents and tasks — along with their invoices, contracts and calendar. They pay by SEPA QR and request visits themselves.

  • Each owner sees only their own horses
  • Photos, weight, temperature, training and results
  • Invoices with SEPA QR payment, contracts and quotations
  • Visit and stop requests instead of phone calls
  • Messages from the stable in the owner's inbox
HELP & ASSISTANT

An assistant that knows your stable

The answer to "why can't I…" or "what should we do about…" shouldn't depend on who happens to be in the office.

Filly, your AI assistant

A groom can't find the feed plan, an owner can't see last month's invoice, and a manager can't work out why a horse keeps tripping its workload warning. All three end up asking you.

Filly is on every screen, at any hour, and knows your stable. Ask why a button is missing and it names the role or permission behind it. Ask why something isn't working the way you expected and it points to the cause and the fix, drawing on EquiZen's own manuals. And it reads your stable's own data to give advice on real situations — a pattern in workload, health or planning worth acting on.

  • Answers grounded in your stable's set-up, roles and permissions
  • The cause and the fix when something doesn't work as expected, from EquiZen's manuals
  • Advice from your own data, such as a pattern in workload, health or planning
  • Staff ask about the whole app; owners about their own menu and their own horses
  • Available at any time, from every screen
LARGE & GROWING STABLES

What breaks first when a stable grows

Somewhere past a handful of staff and one yard, the way you've always worked stops holding. It rarely fails all at once. It fails in these five places, usually in this order.

01

No shared view across locations

What breaks

Each yard runs its own whiteboard and its own group chat. Nobody can say how many boxes are free across the business, or which horses moved this week.

What EquiZen does

One environment for every location, each with its own boxes. Occupancy per site and box movements on the dashboard, and staff see only the locations they work at.

02

Permissions nobody controls

What breaks

Ten people share one login, or everyone sees everything: invoices, owners' details and horses that aren't theirs to touch.

What EquiZen does

Nine role levels, access per module and per role, and around eighty granular permissions. Limit people to specific horses or locations, and let temporary access expire on its own.

03

WhatsApp and spreadsheets give way

What breaks

A feed change sent on WhatsApp never reaches the groom on duty. Forty contracts, a dozen leases and a hundred invoices a month no longer fit in a spreadsheet only one person understands.

What EquiZen does

Tasks go to named people and land on their own list for today. Contracts for a whole yard are set up in one wizard, invoices are generated from contracts and leases, and payment reminders follow up whatever is still open.

04

No trail of who did what

What breaks

When many hands edit the same records, "someone else was supposed to do that" becomes the answer to every mistake.

What EquiZen does

Every change to a task is kept in its history, horse status and ownership changes are recorded, bulk changes can be undone, and administrators have an audit log.

05

Owner contact that doesn't scale

What breaks

Twelve owners is a list of phone numbers. Sixty owners is a full-time job answering the same five questions.

What EquiZen does

Every owner gets a portal with their own horses, invoices, contracts and calendar. Your messages land in their inbox, their visit and stop requests reach you as requests, and one reminder mail per customer covers all their open invoices.
